Entering Team Applications

Details on the Screening and Approval Process

Every Teams IPSF Application is maintained in the online IPSF Database called “IPSF Team”.

Every IPSF TEAM Application has a special listing with the team's general information.  All details of each athlete are maintained in the IPSF Individual database and NOT in the IPSF TEAM database.

For each member of a team, a special TEAM ID is entered to indicate that this person is a member of a team. Follow the steps below to obtain a TEAM ID.

To enter a team in the IPSF Database, follow the following steps.

1. Go to the IPSF Team Database
   (You must have a Quickbase Userid to access this page
   To obtain a user-id, contact the international office )
   
   (*note - the IPSF Team Database contains general team information ONLY and does not contain information on individual team members)

 

1. Click ADD A NEW TEAM

2. Enter the appropriate information in each field.

1. to find the CONTACT PERSON RECORD ID, do the following

2. Open the IPSF Individual Database in Quickbase

3. Search for the Contact Person's Record

4. If it does not exist, create it.

5. Once you have the Contact Person's record, click on VIEW and you will see RECORD # in the upper left hand corner.  This is the contact person's RECORD number.  Write it down.

3. Now enter the Contact Person's Record ID in the appropriate space on the TEAM ENTRY FORM (remember we are working with two databases so you will need to switch between the two and keep both windows open)

4. Complete the entry of information and click SAVE

5. Now review the Team record and look for the TEAM ID. Write this code down.

6. Final Step.  Enter this TEAM ID in the TEAM ID space for every individual who is on that team

Now, when you click on the TEAM ID LINK on the Individual Records you will see the Team Information appear.

From the Team Record, when you click on CONTACT INFO you will see the details of the contact person.

From the Team Record, when you click on the VIEW TEAM link you will see a list of people on that team.

Details on the Screening and Approval Process

When applications are entered, they will be assigned to you if the applicant is in your region. You will get an email with the record information whenever an application is assigned to you.

After you get the email, you MUST screen the applicant before he or she is accepted.

To Screen the applicant, you need to confirm

1. the contact information

2. the age and other eligibility factors.

3. that sports information including performance information exists (you do not need to evaluate performance - just make sure there is something entered that the Intl office can use to review the application.

4. and confirm that the applicant is of good character.

After you have done this you can click the SCREENED checkbox on the application in QuickBase

After you have clicked the SCREENED checkbox, the Approval Team will review the record.

You will receive emails every time a record is changed.  When a record becomes APPROVED, you must then work with the applicant to help them get to Korea in July. 

It is your responsibility as a regional representative to work with the accepted candidate to ensure they obtain a visa and arrange travel to arrive in time for the event.

When you know their ARRIVAL information, enter that information and the Intl. Staff will take care of the rest. (though it is good for you to stay in contact with each applicant)
